An exciting opportunity has arisen for an experienced Executive Assistant to join a fast-paced investment-focused business, supporting a team of senior professionals. This is a varied role offering a blend of executive support, travel coordination, operational administration and presentation production within a high-performing environment.


The Opportunity

An established and growing investment management firm is seeking an experienced Executive Assistant / Desk Assistant to support a team of Portfolio Managers in its London office.

This is a varied and high-profile role that combines executive support, client-facing responsibilities and operational coordination within a fast-paced investment environment. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the team, acting as a trusted support to senior stakeholders whilst delivering an exceptional experience for clients and external contacts.

The position would suit a highly organised and proactive professional who thrives in a dynamic environment and enjoys balancing executive support, client engagement, event coordination and process-driven administrative responsibilities.

Key Responsibilities
  • Provide comprehensive administrative and executive support to a team of Portfolio Managers.
  • Manage complex diaries, coordinate schedules and arrange internal and external meetings across multiple time zones.
  • Organise domestic and international travel, accommodation, transportation and detailed travel itineraries.
  • Act as a key liaison point for clients, investors, business contacts and internal stakeholders, maintaining a highly professional and responsive approach.
  • Build and maintain strong relationships with high-value clients and external stakeholders, ensuring a first-class client experience at all times.
  • Coordinate client meetings, investor events, networking functions and hospitality activities from planning through to delivery.
  • Create and produce high-quality client-facing presentations, pitch materials and meeting documents using PowerPoint, Canva and other digital design tools.
  • Utilise AI-enabled tools and technology to enhance presentation quality, efficiency and overall output.
  • Support the preparation and quality control of investment and client documentation, ensuring exceptional attention to detail and presentation standards.
  • Assist with operational and administrative processes that require a high degree of accuracy and precision.
  • Perform detailed checks and reconciliations of documentation and information, ensuring records remain accurate and up to date.
  • Coordinate team meetings, workshops and external events.
  • Support the onboarding of new employees, including equipment, systems access and office requirements.
  • Identify opportunities to improve efficiency and support the adoption of new technologies, systems and productivity tools.
  • Contribute to the smooth operational running of the business by providing flexible support across a variety of tasks and projects.
Candidate Requirements
  • Previous experience in an Executive Assistant, Desk Assistant, Team Assistant, Client Services, Investor Relations Assistant or similar support role.
  • Experience within investment management, hedge funds, private equity, wealth management, family offices, financial services or a related professional environment.
  • Demonstrable experience supporting senior executives, Portfolio Managers or front-office professionals.
  • Proven experience interacting with high-profile clients and stakeholders, both virtually and in person.
  • Strong background in organising client events, meetings, hospitality activities or relationship-focused initiatives.
  • Advanced PowerPoint skills with the ability to create polished, professional and visually engaging presentations.
  • Experience using presentation and design tools such as PowerPoint, Canva and AI-enabled productivity tools.
  • Exceptional organisational and time-management skills with the ability to manage multiple priorities simultaneously.
  • Strong operational mindset with proven experience following processes where accuracy and attention to detail are critical.
  • Excellent communication and stakeholder management skills.
  • High level of accuracy, discretion and professionalism.
  • Proactive, adaptable and solutions-focused approach to work.
  • Ability to work effectively both independently and as part of a collaborative team.
