Job Title: Administration Assistant
Location: Coventry, UK
Core Hours: 08:00-16:35 (Mon–Thu) 08:00-15:10 (Fri).
Vacancy Type: Full-time, 6-9 month Fixed Term Contract and onsite
Salary: £25,500 to £27,000 per annum

About the role

We’re looking for a highly organised and proactive Administration Assistant to support VSSS site operations during a busy period of delivery.



This role is designed to remove routine administrative workload from senior team members, enabling them to focus on operational performance and programme delivery. You’ll be at the centre of site coordination — supporting visitors and contractors, managing travel and meetings, maintaining accurate records, and ensuring the smooth day-to-day running of site business support activity.

    What you’ll be doing

    You will provide proactive administrative and coordination support across VSSS site operations. Acting as a first point of contact for administrative queries, you will deliver a professional and responsive service via phone, email and in person.



    A key part of the role will involve coordinating visitor and contractor bookings in line with site processes, managing meeting logistics and diary coordination, and taking minutes while maintaining clear actions logs to ensure follow-up and accountability. You will arrange travel and accommodation in line with approval processes, support expense submissions and tracking, and provide basic purchasing administration including requisitions, PO requests and delivery tracking.



    This is a varied and hands-on role that requires strong organisation, discretion and the ability to manage multiple priorities in a busy operational setting.

Demonstrable experience in an administration or office support role within a busy environment

Strong IT capability including Microsoft Outlook, Word and Excel, with confidence learning new systems

Excellent written and verbal communication skills

High attention to detail and strong organisational ability

Ability to handle confidential and sensitive information with discretion

Desirable

Experience working within an operational or site-based environment (e.g. engineering, manufacturing or defence)

Experience coordinating travel, expenses, purchasing or invoice administration

Experience taking minutes and maintaining action logs

Familiarity with Teams, SharePoint or supporting internal communications activity

You will be customer-focused and professional when dealing with colleagues, visitors, contractors and suppliers. You’ll demonstrate initiative, ownership and resilience, with the ability to prioritise effectively and maintain accurate records in a fast-moving environment.
